1. General Questions
WHAT IS THE DEVELOPMENT FUND?
The FIA Development Fund was established to strengthen the FIA Mobility Club network through knowledge exchange and the sharing of information among clubs.
WHO IS ON THE DEVELOPMENT FUND BOARD?
The Board is comprised of the Presidents of the four Mobility Regions.
WHAT IS THE ROLE OF THE DEVELOPMENT FUND BOARD?
The primary role of the FIA Development Fund Board is to assess each application against the criteria and distribute the budget fairly and appropriately in accordance with the requirements of the FIA Mobility Regions and the clubs' needs.
HOW MUCH MONEY IS IN THE FUND?
The Development Fund has a yearly sum of 200,000 EUR to fund club projects.
WHAT KINDS OF PROJECTS GET FUNDED?
Projects funded and supported by the Development Fund in the past have helped improve and diversify the clubs' services to their respective members. The FIA Development Fund is looking for projects that help strengthen the FIA Mobility Club network through knowledge exchange and the sharing of information among clubs.
We encourage clubs to apply for funding and can provide support to help assist you in defining a project plan. Please contact The Grants Officer in Paris at
Please note that funding is primarily considered as initial support for an initiative and will in general not cover the project costs fully. Please see criteria and assessment table for further details.
WHO DECIDES WHAT PROJECTS GET FUNDED?
The Development Fund Board reviews all valid proposals and decides on funding at its annual meeting using the assessment criteria to rate each application. The grantees will be informed by letter and can commence implementation of their projects. Please see calendar for further information on timing.
ELIGIBILITY AND SELECTION OF PROJECTS EXPLAINED.
The Development Fund considers applications received through the regions and eligible projects should look to meet the following criteria:
- contribute to raising service standards of clubs by sharing knowledge, best practices and/ or providing training;
- have a limited duration (no longer than three years);
- increase inter-club co-operation through the development of common services;
- directly ensure benefits to club members;
- have clearly described benefits and measurable goals and results;
- be multilateral in nature;
- include a plan for medium and long-term self-sustainability once the project is started.
Funding is primarily considered as initial support for an initiative and will in general not cover the project costs fully. Please see criteria assessment table for further details.
HOW MANY TIMES CAN I APPLY FOR FUNDING FOR THE SAME PROJECT?
Funding can be requested for a single year, and can be renewed for up to three years in total. A multi-year request may also be submitted (for no more than a total of three years) with funding to be allocated for Year 1, Year 2 and Year 3.
Please note the Board reserves the right to an annual review of multi-year approved projects to ensure that they remain on time and on budget.
WHEN WILL I KNOW IF OUR PROJECT HAS BEEN FUNDED?
Clubs will be informed by the FIA Development Fund Secretariat – timing of the application approval process can be found on the calendar.
OUR PROJECT WAS NOT FUNDED AND WE WOULD LIKE AN EXPLANATION.

WHAT IS THE CUTOFF DATE TO SUBMIT AN APPLICATION?
We will be accepting applications 31 August 2013 at 12:00 CET – please refer to timing of the application process on the calendar.

WE WOULD LIKE TO INCLUDE SUPPORTING DOCUMENTS AS PART OF OUR APPLICATION - HOW DO WE DO THAT?
The FIA Grants Officer together with the Regional Coordinators will manage the application process and provide ongoing support to clubs who apply for funding; following up to determine the scope, budget and objectives of the project. Supporting documents can be provided to the FIA Development Secretariat at this time.
3. Project creation, preparation & planning
WHAT CAN I GET REIMBURSED?
Projects approved for financial support may require various types of funding. For example, the Fund's financial support may be requested to cover some economy class travel costs* and/or accommodation costs*;
- this may cover a limited number of club representatives;
- or for trainers attending a specific seminar, workshop or event within a specific geographical zone.
*Please note the Fund's financial support for travel and accommodation expenses will only be paid upon receipt of original proof of purchase, boarding passes and hotel bills.
CAN CLUBS APPLY FOR FUNDING FOR MORE THAN ONE PROJECT?
Yes, we understand that Clubs have many different facets to their business and are looking to diversify their services in a number of different areas. We encourage Clubs to submit a number of projects for funding. Please contact The Grants Officer in Paris at for further information or to discuss your ideas.
OUR CLUB NEEDS HELP IN A CERTAIN AREA BUT WE DON'T KNOW HOW TO CREATE A PROJECT - WHO CAN HELP US?
The FIA Development Fund Secretariat remains at your disposal to assist and support you in developing a project to submit for funding. Please contact The Grants Officer in Paris at to discuss your ideas.
WE HAVE A LONG TERM PROJECT IDEA; HOW DO I PREPARE A MULTI-YEAR PROJECT PLAN?
A multi-year request may be submitted (for no more than a total of three years) with funding to be allocated for Year 1, Year 2 and Year 3.
Please note for multi-year projects the Board reserves the right to an annual review to ensure that projects remain on time and on budget.

WE WOULD LIKE TO DO A JOINT PROJECT WITH ANOTHER CLUB – DO WE HAVE TO APPLY TWICE?
In the past there have been clubs who have submitted a joint application for funding; clubs can either submit an application for their part in the overall project or one application can be submitted representing the two clubs.

4. Project business & finance plan planning
WHAT IS A BUSINESS PLAN? WHO CAN HELP ME PREPARE ONE FOR OUR PROJECT?
There a number of templates available online that can help guide you through the process of creating a business plan. Please contact the FIA Grants officer at who can help provide assistance to prepare a business plan for your club's project.
HOW DO WE PREPARE A BUDGET FOR THE PROJECT – DOES THE FIA PROVIDE SUPPORT FOR THIS?

HOW DO I KNOW HOW MUCH MY PROJECT WILL COST?
When filling out the online application form please make your best estimate at what you believe the global costs will be for the project. For further support please contact the Grants Officer in Paris at who can help assess the overall costs of your project and assist in preparing a budget.
THE APPLICATION FORM ASKS FOR THE COST OF THE PROJECT IN EUROS – HOW DO WE DO THAT?
There a number of currency converter websites such as www.xe.com/ucc/ that allows you to do a currency conversion from your local currency to EUROS.
5. Project reinbursement & reporting
HOW DO I GET REFUNDED FOR OUR PROJECT?

Please note:

DOES THE FIA PROVIDE FUNDS IN ADVANCE TO COVER THE EXPENSES OF SETTING UP OUR PROJECT?
The FIA Development Fund does not provide advance payments on funded projects. Should you require further information please contact the FIA Grants Officer, .
HOW DO WE REPORT ON THE ACHIEVEMENTS OF OUR PROJECT TO THE FIA AND THE DEVELOPMENT UND BOARD?
For a completed project, a summary report including actual costs needs to be submitted for review and evaluation.
For multi-year approved projects, a progress report on project implementations, status and actual costs needs be submitted to the FIA Development Fund Secretariat before the Development Fund annual meeting each year.
